How to sign out keys

Signing Out Keys

Signing out keys is a quick, guided process which requires you to enter just 3 pieces of information. You can complete the boxes in any order – see Quick Tips for the fastest sign out method.

Quick Tip

  1. Tap/scan the key fob to sign-out
  2. Tap/scan the ID card  or enter the name of the person the keys are being issued to
  3. Click Confirm

Start signing out keys

If the keys are in your hand

The sign-out process will start when you do any of the following:

  • Tap/scan the fob for the keyring you would like to sign out
  • Tap/scan the ID card of the person the keyring is being issued to

Sign out button if you searched for the property

If the keys are not in your hand, use Keyzapp to find them

  • From the Keyzapp Home page, search for the property or keyring number you would like to sign out, select it and click Sign-Out on the next screen

Complete the sign out process

Important: The sign-out is not complete until you click the green "Sign-Out" button.  Don't leave the sign-out unfinished!
To complete a sign-out, you need to have a tick in all 4 boxes and then click "Sign-Out"

  1. Scan or search for the key (if these boxes are not already complete)
  2. Select the user by scanning or searching
  3. In the Confirm box , you have the opportunity to give a reason for sign-out, and to set a due back time.

It is really important to choose the right type of sign-out:
  1. Short Term if the key is going to be actively tracked (Do this most of the time)
  2. Long Term (usually only for tenants) – see the section on Managing Tenant Keys.

Sign out multiple keys at once

Sometimes you may want to sign-out more than one set of keys at a time to the same individual. There are two ways to do so:

Tap/scan multiple key fobs one after the other

  1. Tap/scan each of the key fobs you would like to sign out
  2. Complete the remaining sign out boxes

Click Sign-out Multiple Keys during a single key sign-out

  1. Start the sign out process for a single screen
  2. Click Sign-Out Multiple Keys (usually under the Property box)
  3. Identify the additional keyring to be signed out by scanning its fob, entering its ID, or searching via the property's address
  4. Complete the remaining boxes as required

Please note: You cannot select " Long Term Issue " when signing out multiple keys.  Click the "Cancel" button and sign out each key individually.
